What are File Types? Back To Questions
File Types are a way of categorizing your files. You may have files for work, home, church, clubs, etc. You can identify each file with a group of files using the file type value. Or you may want to further divide your files into sub-categories. Select the + button to add a new file type or add file types from the main Menu window.
Each file type consists of a 3 character/digit code or id number and a description. The code number will precede the file sequence number that is assigned by the computer. If your file type was "010" and you enter the first file, the file sequence number will be "010-0010."
Can I delete a file type? Back To Questions
Yes, but it is not recommended if you have already assigned files to that file type. You should first change the files assigned to the file type you wish to delete to another file type. Then delete the file type. If you delete a file type that has files assigned to it they will show up as blank file types.
What are Locations? Back To Questions
A Location is the place where the file is kept. This is handy if you have multiple file cabinents or offices. The data entry box is an "auto-suggest" box. As you type an entry, the computer will suggest prior entries that match what you have typed. To accept the suggested value, press the Enter or Tab keys. To enter something new, keep typing.
How is the sequence number determined? Back To Questions
The file sequence number is assigned by the computer based on the file type you have selected. Each file type has its own set of sequence numbers. If your file type was "010" and you enter the first file, the file sequence number will be "010-0010." File sequence numbers, by default, are set to increment by 10 based on the highest file sequence number for files in that file type. So the next file in the "010" category will be "010-0020."
You can change the amount by which the files are incremented in the Settings Window. Also you can change the starting sequence number for each file type.
Can I change the sequence number? Back To Questions
Yes. You can change the sequence number up or down. You can even make duplicate file numbers, but we don't recomend it.
Can I change the starting sequence number or increment? Back To Questions
Yes. You can change the amount by which the files are incrmented in the Settings Window. Also you can change the starting sequence number for each file type.
How can I find a specific file? Back To Questions
Use the Search button in the File Entry window. You can then enter a word or phrase to search for in the file description and notes. You can search for files containing two separate words or phrases (AND) or files containing one of two words or phrases (OR).
Files that meet your criteria will be listed in the Search window. You can then select the file from the list and click to it.
How do I get my name on the reports? Back To Questions
You can set the name that shows up on reports through the Settings window.
How do I reprint a label? Back To Questions
To reprint a file label, go to the file record and uncheck the Label Printed checkbox. If all other labels have been printed you can just print the "unprinted" labels, which will now include your desired label. If other labels need to be printed, your desired label will be included in the other labels that are printed.
How do I keep the labels from printing? Back To Questions
Labels are only printed when you run the Print Labels report. If you do not want labels to print, you can check the Label Printed checkbox for each file. If you do not want any labels to print you can use the tool in the Settings window to Mark All Labels as Printed.
How do I print just one a label? Back To Questions
Option 1: If all of your labels are printed (or you have marked all labels as printed, see Settings window) you can uncheck the Label Printed check box and then print the label(s).
Option 2: You can assign the label to a unique Location. Then select that location from the criteria in the Reports window and print labels for the Current File Criteria.
How can I start printing labels on a middle row? Back To Questions
If you have a partially used sheet of labels, you can start the printing from a specific row by enter the row number in the Start Printing on Row box in the Print Labels area of the Report window.
How can I move my data files to another directory? Back To Questions
Use the Move Data Files tool located in the Settings & Tools window.
How can I move or copy my data files onto another computer? Back To Questions
After File Finder is installed on the new comptuer, copy your data files to a floppy disk or through the network to your new computer and into the program folder ("C:\Program Files\file-finder" by default).
To determine where your data files are located and where the program files are located click on the product logo in the Menu window. This will open the About window, which shows you the version date of the program as well as it's location and the location of your data files.
To move your data files you will need to move all of the files with a "CDX", "DBF", or "FPT" extension to your new location. (If you cannot see the file extensions (e.g., FILE.EXT), in Explorer, select View | Folder Options | View tab, and uncheck the "Hide file extensions for known file types" option; about the 8th line in the box.)
If you want to keep your data files in a location other than the program folder (file-finder), first place them in the program folder and then run File Finder and use the Move Data Files tool in the Settings & Tools window. This way File Finder will know where to find them.
Can I install this program on my desktop and laptop computer? Back To Questions
Yes! Simple Joe's Software Use Agreement allows you to use the software on more than one computer so long as you are the only user of the software on each computer. We don't squeeze you for extra licensing fees by limiting software use to one "user" or one "computer." See the Software Use Agreement for more information about who can use the software and how it may be installed.
So if you have a desktop and a laptop, feel free to install Simple Joe software on both machines. Just remember the data files are separate and the data in them may be different on each machine.
Something strange is happening. Can I reinstall this program without losing my data files? Back To Questions
Yes. The installation routine checks for current data files and will not overwrite them if they already exist. To reinstall completely, either run the Uninstall program from your Start menu or delete all the files in the program folder ("C:\Program Files\file-finder" by default).
